As you know, SAMHSA has released an updated version of the Intake and Follow-up GPRAs that started being used on January 21st, 2023.

This is to remind you that OMNI will hold a two-hour Follow-up/Discharge GPRA Training on Tuesday, March 28th, 2023, from 11am-1pm ET. This training will most directly focus on providing a detailed overview of the Follow-up and Discharge GPRA and will provide tips for administering the survey. We will also review general information about the GPRA (including what it is and who should receive it) as well as point out existing TA resources.

OMNI Kudos to CSBs with High SOR II Interview Follow-up Rates!

This year we will continue to share kudos to recognize CSBs or Agencies for doing well with intakes, follow-ups, engaging and supporting clients, and/or demonstrating a "spirit of inquiry" when engaging with our TA Team on GPRA administration issues. This month we are compiling some kudos along with best practice information for completing follow-ups.

To remind you, follow-up windows for SOR III will start opening this month. Please review your weekly tracking sheets to stay on top of the window openings and closings for each client who has a GPRA Intake. As with years past, SAMHSA requires an 80% follow-up rate. However, only “Interview” follow-up GPRAs count towards this rate, whereas “Administrative” follow-up GPRAs do not.

This month, we’d like to give kudos to five CSBs who achieved high GPRA Interview follow-up rates during SOR II, each exceeding the 80% SAMHSA rate:

  • Chesapeake 87%

  • Horizon 81%

  • PD1 82%

  • Richmond 83%

  • Virginia Beach 83%

It is possible to meet the goal, and OMNI’s TA Team has compiled tips and best practices to support all CSBs to attain it. Here are examples of the support we’ve compiled to keep you on track:

  • GPRA Admin Tips & Best Practices: This helps answer questions such as "How do I reach clients for follow-ups?", "What systems can I put in place to better manage GPRA administration?" and "How do I engage clients who have left services?", and much more.

  • Engagement Information Sheet for Clients: Designed to be shared with your clients so they can have a better understanding of the GPRA and its purpose. This helps encourage buy-in.

  • Client Locator Form: Word document that will auto-download as a form that you can use to keep track of each client's GPRA ID, DOB, and multiple points of contact. This can help in outreach for completing follow-up GPRAs.

Many of these compiled tips came directly from our conversations with CSBs or Agencies who were most successful in securing GPRA follow-up interviews. For even more tips, check out the recorded Community Forum on this topic and accompanying slides.

SOR I and II CSB/Agency-level GPRA Reports Now Available in Dropbox

OMNI is pleased to share customized GPRA reporting for your CSB/Agency. Similar to the statewide SOR Annual Report, your agency report contains compiled GPRA data specific to your CSB/Agency from the entirety of the SOR I and II grants (June 2019 - September 30th, 2022). 

  • CSBs/Agencies are provided with an Intake report. This report contains demographic and baseline characteristics of your clientele cohort.

  • Some CSBs/Agencies are also provided with an Outcomes report that includes demographic and baseline characteristics of your clientele cohort based on their intakes, as well as matched “outcomes” based on follow-up or discharge data so you can see how this cohort has changed over time. To ensure confidentiality in reporting and to allow us to perform statistical tests, there must be 15 or more follow-up or discharge client interviews in place to have an outcomes report.

Your report(s) can be found in your agency’s Dropbox folder. The SOR Support Team will also email your CSBs/Agency additional information about these reports. SOR Year 4 Annual Report Now Available!

We are excited to share that the SOR Year 4 Annual Report is now available on the SOR Support website. This report covers evaluations from the fourth year of SOR funding for prevention, harm reduction, treatment, and recovery, and examines multiple data sources, including GPRAs and quarterly surveys. We thank everyone for your data collection efforts, collaboration, and most of all the incredible amount of work accomplished by agencies and their communities under this grant!

This year we will continue to share some shout-outs about CSBs or Agencies that are doing well with intakes, follow-ups, engaging and supporting clients, and/or those that demonstrate a "spirit of inquiry" when engaging with our TA Team on GPRA administration issues.

This month, we’d like to highlight Highlands CSB. Over the four months since the start of SOR III, Highlands has already reached 81% of their annual Intake GPRA target completion goal, showing their diligence in completing these important GPRA interviews. Kudos!

January 31st Full Intake GPRA Training - Recording and Materials Now Available!

Q: Why is the BARC-10 score important?

A: The BARC-10 score, which is calculated from section H of the GPRA, can be used to support an individual’s recovery process by focusing on their strengths and resources throughout various phases of treatment and recovery. For more information on the BARC-10, please review the BARC-10 Information Sheet. For examples of how agencies can utilize the scores from this tool, navigate to the section entitled “How Can I Use This Tool?” on page 2.

Q: Does the new GPRA ask all clients, regardless of gender identity, if they are pregnant?

A: Yes, this question is asked of all people, as some individuals may be gender nonconforming or transgender who retain the capacity to have children.

Q: When completing Section B: Substance Use and Mental Health History how do we navigate self-reported diagnoses?

A: It is important to ask the questions as they appear and record responses exactly as they are reported by the client. For example, the question in the GPRA that occurs before the mental health diagnoses section is “Have you ever been diagnosed with a mental health illness by a health care professional?” If the client replies “yes”, then the survey will direct you to the section where those diagnoses are reported. If the client replies “no” or “refused”, then the survey will skip the reported diagnoses section and direct you to Section C: Living Conditions.

Note: if the client reports that they have not been diagnosed by a medical professional but have self-diagnosed themselves with a mental health illness or substance use disorder, select “no” or “client does not report such a diagnosis” and skip to the next section.

As you know by now, SAMHSA released an updated version of the Intake and Follow-up GPRAs that are now being used. This began January 21st.

To begin orienting you to these changes, and the GPRA Process overall, OMNI will hold a two-hour Full Intake GPRA Training on Tuesday, January 31st, 2023, from 11am-1pm ET. The training is certainly geared to those brand new to the GPRA, but will also serve as a solid refresher for others.

This training will provide a walkthrough of the new intake GPRA as well as important tips for administering the survey. We will review general information about the GPRA (including what it is and who should receive it) and existing TA resources.

The DBHDS SOR Treatment/Recovery Team is scheduling site visits for 2023! We’re looking forward to seeing everyone and getting updates on the great work you’re doing in your communities.

We also want to make an effort to attend any special events or community meetings your organization will be hosting/participating in this year.

Occasions like stakeholder meetings provide us a more comprehensive look into the unique attributes and challenges of the populations you serve. And we’re often able to give helpful ideas and insights.

We also love celebrating your accomplishments and milestones.
